General Summary
The administrative assistant works as a support for all departments and assists in providing excellent customer service to internal and external customers. The assistant will:
• Courteously and efficiently answer and route incoming calls
• Act as professional information liaison between our Company, Customers, Vendors and other Associates
• Professionally and courteously greet all visitors
• Provide administrative support for all departments
Essential Job Functions
• Retrieves messages from voice mail and forwards to appropriate personnel
• Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department. This position has primary responsibility for phone coverage
• Posts Accounts Receivable customer deposits in to SX accounting system
• Assist in processing special customer billing arrangements
• Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable
• Answers questions about organization and provides callers with address, directions, and other information
• Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel
• Receives, sorts, and routes mail, and maintains and routes publications.
• Separates, sorts and stuffs checks for mailing
• Processes customer invoices and statements for mailing
• Assist in maintaining certificate of liability binders
• Orders, receives, and maintains office supplies
• Scans and enters Material Test Reports in to database
• Assist with accounting projects as necessary
• Assists sales with planning and coordinating annual sales events and company-sponsored events
• Coordinates and makes arrangement for meeting lunches
• Data entry and other administrative duties
• Assists with Accounting and/or Operations projects, as assigned
Knowledge and Abilities
• High School Diploma or equivalent required. Associate’s degree or equivalent from two-year college or technical school, in related field, preferred;
• Six months to one year related experience and/or training; or equivalent combination of education and experience required;
• Ability to proficiently use required technologies including accounting/business systems and Microsoft office products including Word, PowerPoint, Outlook and Excel;
• Strong administrative, project management, organizational, analytical, and problem solving skills;
• Knowledge of generally accepted accounting principles (GAAP) preferred;
• Strong typing and data entry skills required;
• Strong interpersonal and customer service skills;
• Solid decision making, judgment, problem solving, and time management skills required;
• Ability to prioritize and process work quickly and accurately, dealing with interruptions and changing priorities;
• Demonstrates superior attention to detail and ability to meet deadlines;

Sales Internship

An Internship with Central States Group is a great opportunity for those interested in our company to gain insight into our operations, culture, professional staff, and management team. We will expose you to the following aspects of our company and industry to help provide the student with hands-on practical business experience.

Warehouse Department: with our shipping and receiving teams, learn about various vendor parts and products and the logistic challenges that surround meeting the customer orders.

Sales Department: learn about inside sales – work with customers in a professional environment with our PVF (Pipe, Valve and Fitting) and Process Controls departments.

Operations: experience ISO standards in real-life scenarios while managing inventory and processes for efficiency. Accounting: work with our accounts receivable and payable departments to get a complete business circle with how customers pay and how we pay vendors.

The internship is paid on an hourly basis; however, Central States Group is not responsible for costs incurred during relocation for the internship or for housing expenses incurred during the duration of the internship program.

Central States Group, a Midwest industrial distributor has a great career opportunity for a Service Technician apprentice to work with our experienced Service Technicians on pumps and related process equipment repairs. This is an entry level position and doesn't require any prior knowledge or experience, but we are looking for someone who is team oriented, has mechanical ability, is a quick learner and has a strong work ethic. The duties for this position include parts cleaning, assisting the service techs, keeping the shop clean, orderly, and safe plus other miscellaneous duties. Must have mechanical aptitude and be comfortable with algebra and similar mathematics. Must have practical business experience working with Microsoft Office and have solid general computer skills. Must have strong communication skills (written and verbal), a strong work ethic, and the ability to perform in a fast-paced environment. For those without related experience with pumps or rotating equipment, we provide extensive on-the-job training.
